1. Acceptance of Terms

By accessing and using the VetPro AI platform, you fully agree to these Terms of Use. If you do not agree with any part of these terms, please do not use our services. These terms apply to all types of platform users, including veterinarians, veterinary clinics, and pet owners.

2. Service Description

VetPro AI is a digital veterinary management platform that uses artificial intelligence as an auxiliary tool. The platform offers the following services:

• Patient, owner, and medical record management
• Audio and video transcription of veterinary consultations (with limits according to the contracted plan)
• Real-time chat between veterinarians and pet owners (Vet-Owner Chat)
• Generation of veterinary documents (certificates, prescriptions, reports)
• AI analysis and support (VetGPT) as an auxiliary tool for the professional
• Hospitalization management, including clinical evolutions and medications
• Appointment scheduling and automatic reminders
• Owner Portal for animal monitoring
• Veterinary clinic and staff management
• Sending communications and emails to pet owners
• Controlled file and report sharing

The platform does not replace the diagnosis, opinion, or decision of the veterinarian. All AI-generated analysis must be reviewed and validated by the responsible professional.

3. User Types and Registration

The platform has three types of users:

• Veterinarian: Professional responsible for clinical care. Must provide valid professional data (name, professional license, country of registration).
• Veterinary Clinic: Legal entity that manages a team of veterinarians. Must designate a legal representative.
• Pet Owner: Individual who monitors the health of their animals. Can register independently or via a veterinarian's invitation (token valid for 7 days).

By registering, the user declares that the information provided is true and commits to keeping it updated.

4. Privacy and Data Security

Data protection is a priority on the platform:

• All data is protected by Row-Level Security (RLS) policies, ensuring that each user only accesses data they are authorized to view.
• Medical records, consultation notes, and clinical chats are strictly private and accessible only by the veterinarian or clinic that created them. Pet owners and external veterinarians do not have access to these internal records.
• Pet owners can view: their animals' hospitalizations, generated documents, published final reports, and shared files.
• Consultation audio files are stored temporarily for transcription and processing purposes, and are automatically removed after the retention period.
• Subscription and plan changes are managed exclusively by the payment system (Stripe) via secure webhooks, with no possibility of user manipulation.
• The platform uses encryption and security best practices to protect personal and clinical data.

5. Owner Portal

The Owner Portal allows pet owners to:

• View basic data and photos of their animals
• Track hospitalizations and clinical evolutions
• Access generated documents and final reports published by the veterinarian
• Upload files to the animal's profile
• Manage data sharing with external veterinarians ("My Veterinarians")
• Communicate with the veterinarian via chat

Owner Portal Limitations:

• Internal medical records, consultation notes, and clinical chats are NOT visible to the pet owner
• Access can be revoked by the veterinarian at any time
• Access invitations expire in 7 days if not used

6. Use of Artificial Intelligence

• AI features (VetGPT, transcription, document generation, video analysis) are auxiliary tools designed to support veterinary professionals.
• AI does not replace the clinical judgment of the veterinarian.
• All AI-generated content must be reviewed and validated by the professional before any clinical use or delivery to the pet owner.
• The platform is not responsible for clinical decisions made based solely on AI suggestions.

7. Plans, Subscriptions, and Transcription

• Access to the platform is conditional upon subscribing to a plan or using a free plan (when available).
• Each plan has specific monthly audio transcription hour limits.
• Additional transcription packages can be purchased separately.
• Subscription management, payments, and renewals are handled exclusively via Stripe.
• Cancellation can be requested at any time through the Stripe customer portal, effective at the end of the current period.
• Discount coupons may be applied according to availability and specific conditions.

8. User Responsibilities

The user commits to:

• Using the platform only for lawful purposes within the scope of veterinary medicine
• Maintaining the confidentiality of their access credentials
• Not attempting to access other users' data or circumvent platform security mechanisms
• Not using the platform to store illegal, offensive content, or content that violates third-party rights
• Keeping their registration and professional data updated

9. Intellectual Property

• The VetPro AI platform, including its code, design, logos, and original content, is the property of its developers.
• Clinical data entered by the veterinarian remains the responsibility of the professional who created it.
• The user grants the platform a license to use the entered data exclusively for the provision of contracted services.

10. Limitation of Liability

The platform is provided "as is", without guarantees of uninterrupted availability. We are not responsible for:

• Clinical decisions based on AI suggestions
• Data loss resulting from improper use by the user
• Temporary unavailability due to maintenance or external factors
• Audio or video transcription errors

The platform performs regular backups and employs reasonable measures to ensure service availability.

11. Changes to Terms

• These terms may be updated at any time.
• Significant changes will be communicated to users through the platform or by email.
• Continued use of the platform after publication of changes constitutes acceptance of the new terms.

12. Applicable Law and Jurisdiction

These Terms of Use are governed by the laws of the State of Florida, United States of America. For any dispute related to these terms, the competent court in the State of Florida shall have jurisdiction.
